Explore administration volunteer opportunities abroad with NGOs, non-profit organisations, community projects, educational initiatives and other hosts looking for practical organisational support.

Administrative volunteering can involve office organisation, spreadsheets, email communication, documentation, volunteer coordination, project support, research or other behind-the-scenes tasks that help an organisation operate effectively.

Some roles are suitable for volunteers who want to develop basic office experience, while others require existing administrative, organisational or project-management skills. Always read the individual listing carefully to understand the level of responsibility involved.

Some listings may be seasonal, archival or no longer active. Check the publication date and confirm the current role, working conditions and availability directly with the host or organisation before making travel plans.

Administrative volunteering should provide a clearly defined and appropriately supervised role. Volunteers should not be expected to replace essential paid staff, independently manage responsibilities beyond their experience or handle sensitive personal, financial or safeguarding information without appropriate procedures and authorisation.

What can administration volunteering involve?

Depending on the organisation and the participant’s experience, activities may include:

  • organising files and documents;
  • data entry and spreadsheet work;
  • responding to routine emails;
  • preparing reports or basic documentation;
  • helping organise meetings or events;
  • maintaining calendars and schedules;
  • supporting volunteer coordination;
  • researching information or funding opportunities;
  • helping maintain databases or contact lists;
  • preparing presentations or informational material;
  • basic project administration;
  • other organisational tasks connected with the wider project.

The exact responsibilities should be described in the individual listing. The word “administration” can cover very different levels of responsibility, from simple data entry to supporting the coordination of an international project.

Administration in NGOs and non-profit organisations

Many NGOs and community organisations need practical support that takes place away from frontline activities. This can include organising information, maintaining project records, preparing communications, coordinating volunteers or helping staff keep track of ongoing activities.

Rural to Action in Kenya, for example, currently lists administration alongside fundraising, farming, film-making and other areas where volunteers can contribute. Project administration and skilled roles

Some opportunities require more than basic office help. A project may look for someone with experience in coordination, reporting, budgeting, project management or organisational systems.

Administrative roles may provide access to information that other volunteer activities do not. This can include names, contact details, applications, donor information, financial records, staff documents or information about beneficiaries.

Ask what information volunteers are permitted to access and how it should be stored, shared and deleted. The organisation should explain any confidentiality or data-protection procedures that apply.

Do not copy organisational databases, contact lists, beneficiary information or other private records onto personal devices or cloud accounts unless the organisation has specifically authorised this and provided an appropriate procedure.

Children and vulnerable people

An administrative volunteer working for a school, charity, medical organisation or social project may encounter sensitive information even without directly working with beneficiaries.

Records concerning children, patients or vulnerable people require particular care. Volunteers should only access information that is necessary for their role and should follow the organisation’s safeguarding and confidentiality procedures.

Training and supervision
